As an Executive Assistant, you will be working for our client, a leading global financial services institution with a vast international presence. Your role will be supporting senior executives, ensuring the smooth operation of their day-to-day activities. You will manage schedules, coordinate meetings, and handle key administrative tasks with a high level of professionalism. Your ability to anticipate needs, maintain confidentiality, and manage multiple responsibilities will be crucial to ensuring the success of business operations.

Your main responsibilities:

  • Organizing executive schedules, maintaining diaries, and arranging travel and accommodation
  • Coordinating meetings, events, and managing internal and external stakeholders
  • Preparing presentations, reports, and assisting with key business documents
  • Deputizing in meetings, making decisions, and managing business area tasks
  • Managing relationships with external service providers and stakeholders
  • Acting as the primary point of contact for the executive’s area, ensuring confidentiality
  • Supporting project management and overseeing small-scale business initiatives
  • Composing communications and handling inquiries on behalf of executives
  • Ensuring compliance with internal policies and maintaining confidentiality on sensitive matters
  • Assisting with the overall administrative efficiency of the executive’s office

You’re ideal for this role if you have:

  • At least 5 years of experience in an executive administrative role
  • Advanced proficiency in MS Office, diary management, and travel booking
  • Strong written and oral communication skills
  • Ability to anticipate needs and work independently with minimal supervision
  • Excellent organizational and multitasking abilities
  • A university degree or equivalent education
  • Experience in handling confidential information with discretion
  • Professionalism in managing relationships at all levels within an organization
  • High-level customer service and problem-solving skills
  • Experience in working with various computer applications

It is a strong plus if you have:

  • Experience working in the financial services industry
  • Familiarity with managing service providers and external partnerships
