As an Executive Assistant, you will be working for our client, a leading global financial services institution with a vast international presence. Your role will be supporting senior executives, ensuring the smooth operation of their day-to-day activities. You will manage schedules, coordinate meetings, and handle key administrative tasks with a high level of professionalism. Your ability to anticipate needs, maintain confidentiality, and manage multiple responsibilities will be crucial to ensuring the success of business operations.
Your main responsibilities:
- Organizing executive schedules, maintaining diaries, and arranging travel and accommodation
- Coordinating meetings, events, and managing internal and external stakeholders
- Preparing presentations, reports, and assisting with key business documents
- Deputizing in meetings, making decisions, and managing business area tasks
- Managing relationships with external service providers and stakeholders
- Acting as the primary point of contact for the executive’s area, ensuring confidentiality
- Supporting project management and overseeing small-scale business initiatives
- Composing communications and handling inquiries on behalf of executives
- Ensuring compliance with internal policies and maintaining confidentiality on sensitive matters
- Assisting with the overall administrative efficiency of the executive’s office
You’re ideal for this role if you have:
- At least 5 years of experience in an executive administrative role
- Advanced proficiency in MS Office, diary management, and travel booking
- Strong written and oral communication skills
- Ability to anticipate needs and work independently with minimal supervision
- Excellent organizational and multitasking abilities
- A university degree or equivalent education
- Experience in handling confidential information with discretion
- Professionalism in managing relationships at all levels within an organization
- High-level customer service and problem-solving skills
- Experience in working with various computer applications
It is a strong plus if you have:
- Experience working in the financial services industry
- Familiarity with managing service providers and external partnerships
