Kraków – based opportunity with hybrid work model (2 days/week in the office).
As an AV PMO, you will be working for our client, a global financial institution, supporting the coordination and tracking of Audio-Visual (AV) projects across multiple international markets. You will oversee both pre-planned projects and new operational initiatives, ensuring seamless communication between internal teams and external suppliers. Your role will involve managing project data, tracking orders, ensuring compliance with governance processes, and facilitating key meetings with senior stakeholders. You will be responsible for maintaining accurate project documentation and ensuring that all milestones, risks, and issues are effectively monitored to support successful project delivery.
Your main responsibilities: Compiling and managing scope tracking sheets for AV initiatives
- Tracking and ensuring the progress of AV orders from initiation to completion
- Supporting quality assurance of supplier quotes for basic accuracy
- Raising and tracking approvals for orders in the TPS system
- Managing purchase order requests across global markets and ensuring full approval
- Maintaining data accuracy in the Clarity PPM tool, including milestones, risks, and issues
- Facilitating programme and project governance meetings, including preparing documentation and tracking actions
- Coordinating and distributing reports and communications for key stakeholders
- Liaising with suppliers to monitor delivery milestones and ensure reporting accuracy
- Collaborating with the Programme Management Team to identify trends and resolve delivery issues
You’re ideal for this role if you have:
- Experience as a Programme PMO specialist within IT
- Strong organizational skills with the ability to manage multiple tasks within deadlines
- Expertise in PMO fundamentals, particularly milestone management and risk assessment
- Proficiency in managing orders with suppliers and working with complex ordering systems
- Advanced skills in MS Office, specifically Excel and PowerPoint
- Effective communication and stakeholder management skills
- Ability to problem-solve and analyze trends to propose solutions
- Experience with IT delivery involving multiple suppliers
- Strong ability to challenge the Programme Management Team on reporting quality
- Capability to work with diverse cultures in a global delivery context
It is a strong plus if you have:
- Certified PMO Certification
- Experience working with Clarity PPM or similar project management tools
- Knowledge of financial services or banking industry operations
- Background in managing AV or IT infrastructure projects
- Familiarity with procurement and order management processes
